Identity and administrator access · Microsoft Entra ID

Who can sign in, and who can change everything

Redgate Protection works with internal IT teams on Entra ID: reviewing Conditional Access policies, moving administrator roles to just-in-time activation with Privileged Identity Management, planning emergency-access accounts, and writing a sign-in review procedure your team can keep running.

Configuration and documentation for your team to operate. Not monitoring, incident response or penetration testing.

How a sign-in passes through Conditional Access A user on a device signs in. Conditional Access evaluates who they are, the app, location, device compliance and sign-in risk. The result is either grant, with requirements such as multi-factor authentication or a compliant device, or block. User and device Sign-in CONDITIONAL ACCESS Who: user, group, role Which app Location Device compliance Sign-in risk → one decision Grant with MFA or a compliant device Block e.g. older sign-in methods

01 · Services

Four pieces of identity work

Each produces configuration you can see in the Entra admin centre and a document explaining why it’s set that way. Take them in any order, though most teams start with the policy review.

S-01

Access-policy review

A structured review of your Conditional Access policies: what each one does, who it excludes, and where the gaps are.

  • An inventory of current policies and their exclusions
  • A gap list: users, apps or sign-in methods with no policy coverage
  • A proposed policy set, tested in report-only mode before it’s enforced
  • A naming and documentation standard for future policies

Licence dependency: Conditional Access needs Entra ID P1 or a plan that includes it.

S-02

Privileged-role configuration

Replace always-on administrator rights with roles people activate when they need them, for a limited time, with a reason recorded.

  • A review of who holds which administrator roles today
  • Separate admin accounts for people who administer
  • PIM settings: activation time, MFA on activation, approval where agreed
  • Periodic access reviews for privileged roles

Licence dependency: Privileged Identity Management needs Entra ID P2 or an equivalent governance licence.

S-03

Emergency-access planning

A plan, and accounts, for the day normal administrator sign-in doesn’t work: an MFA outage, a misconfigured policy, or a locked-out admin.

  • Two emergency-access accounts, set up and documented
  • Agreed exclusions from Conditional Access, and nothing else
  • Alerting whenever an emergency account signs in
  • A storage and testing procedure for the credentials

The credentials stay with you. We never keep them.

S-04

Sign-in review procedures

A short, repeatable routine for reading sign-in and audit logs, so unusual activity is noticed by your team on a regular basis.

  • A weekly and monthly review checklist, sized to your team
  • Saved views or queries for the sign-ins worth looking at
  • Notes on what “normal” looks like for your organisation
  • An escalation path when something looks wrong

A procedure for your team to run. Not a monitoring service. Risk-based reports depend on your licence level.

02 · Just-in-time admin

Standing access versus access when needed

The same administrator over one illustrative week. With a permanent role, the rights are there every hour. With an eligible role in PIM, they exist only during the activations the work needed.

Illustrative week: standing versus just-in-time administrator access The standing role is active continuously from Monday to Sunday. The eligible role is active only during three short activations, on Tuesday, Thursday and Saturday. Standing role always active Eligible role activated in PIM MonTueWedThuFriSatSun
Illustrative. Activation length and approval rules are agreed with your team.

Why it matters

  • A stolen admin password is far less useful if the role isn’t active.
  • Each activation records who, when and why.
  • Roles nobody activates for months show up in access reviews.

Some roles and service accounts can’t use activation sensibly. The configuration notes which ones, and why.

03 · Emergency access

Planning for the day sign-in fails

Emergency-access accounts exist so a mistake in a policy, or an outage, doesn’t lock every administrator out of the tenant. They’re only safe when they’re treated as a controlled procedure.

EA-1

Two accounts

Cloud-only, not tied to any one person, with the highest role kept to these two.

EA-2

Narrow exclusions

Excluded only from the policies that could lock them out, and documented.

EA-3

Alert on use

Any sign-in by an emergency account notifies named people straight away.

EA-4

Tested on a schedule

Credentials stored securely by you, and a test sign-in recorded at agreed intervals.

The exact design depends on your tenant and authentication methods. We describe the trade-offs; your team decides and holds the credentials.

04 · Worksheet

Administrator Access Review Worksheet

A printable worksheet for listing every administrator role holder, how the role is assigned, how they sign in, and whether they still need it. It includes checks for emergency-access accounts and an action table.

It prints in landscape, so each row has room. Fill it in from the Entra admin centre’s role assignments. You don’t need special tools.

About Redgate Protection
